Using Document
Document is VENI-AI's built-in word processor for your team. Write policies, proposals, SOPs, meeting notes, and more — all in one place where everyone can collaborate, review, and approve without jumping between apps. Changes are saved automatically, so you'll never lose your work.
Create a New Document
- Click Document in the left sidebar.
- Click New Document in the top-right corner.
- Give your document a title by clicking on Untitled Document at the top and typing a name.
- Start typing in the body area.
Your document is saved automatically every few seconds. You'll see a small "Saved" indicator in the top bar to confirm.
Use a Template
Templates give you a head start with pre-formatted layouts for common document types (project briefs, meeting agendas, HR policies, and more).
- Click Document in the left sidebar.
- Click New from Template.
- Browse the template library or use the search bar to find a template by name.
- Click a template to preview it, then click Use This Template.
A new document is created with the template's structure already in place. Replace the placeholder text with your own content.
TIP
Your organization admin can create custom templates for your team. If you'd like a template added, ask your admin to go to Settings → Document → Templates → New Template.
Edit and Save
Click anywhere in the document body to start editing. The toolbar at the top gives you access to formatting options: headings, bold, italic, lists, tables, links, and more.
INFO
Auto-save is always on. VENI-AI saves your changes automatically as you type — there's no Save button to click. If you close the browser tab by accident, your last few seconds of edits are preserved.
To see a history of all changes, click File → Version History. You can view any past version and restore it with one click.
Send for Review or Approval
When your document is ready for feedback, you can send it to a colleague for review.
- Click the Share button in the top-right corner of the document.
- Select Request Review.
- Search for a team member by name or email and select them.
- (Optional) Add a note to explain what you'd like them to check.
- Set a due date if needed.
- Click Send Request.
The reviewer receives an email notification and can add comments directly inside the document. You'll be notified when they've finished their review.
TIP
Reviewers can highlight any text and click the comment icon to leave inline feedback. You can reply to comments or mark them as resolved once addressed.
Publish a Document
Publishing makes a document available to a wider audience — either your whole organization or anyone with a link.
- Open the document you want to publish.
- Click File → Publish.
- Choose your visibility setting:
- Organization only — visible to all signed-in members of your organization.
- Anyone with the link — visible publicly, no sign-in required.
- Click Publish Now.
A published link appears. Copy it and share it wherever you need. To unpublish, go back to File → Publish → Unpublish.
WARNING
If you choose Anyone with the link, the document content will be accessible to the public. Do not publish documents containing confidential or sensitive information using this setting.
Search Documents
- Click the Search bar at the top of the Document page.
- Type a word or phrase — VENI-AI searches both document titles and content.
- Click a result to open the document.
Use the Filters dropdown to narrow results by author, date modified, or status (draft, in review, published).
Common Questions
Q: Is there a document size or page limit?A: There's no strict page limit. Very large documents (over 100,000 words) may experience slower loading times. For long reports, consider splitting content across multiple linked documents.
Q: Can two people edit a document at the same time?A: Yes. VENI-AI supports real-time co-editing. You'll see your collaborators' cursors live on screen. Changes from both editors are merged automatically.
Q: How do I export a document to PDF or Word?A: Click File → Export, then choose your format (PDF or DOCX). The file will download to your computer.
Q: What happens to a document when I delete it?A: Deleted documents go to Trash and are kept for 30 days before permanent deletion. You can restore them from Document → Trash within that window.
