Using Drive
Drive is your secure cloud storage within VENI-AI. Think of it as a shared filing cabinet for your team — you can store any type of file, organize it into folders, and control exactly who can access what. Everything is encrypted and backed up automatically, so your files are always safe and available.
Upload a File
You can add files to Drive in two ways:
Option A — Click to upload:
- Open Drive from the left sidebar.
- Click the Upload button in the top-right corner.
- Select one or more files from your computer.
- Click Open.
Option B — Drag and drop:
- Open Drive from the left sidebar.
- Drag a file from your desktop or file explorer and drop it anywhere in the Drive window.
You'll see a progress bar while your file uploads. Once complete, the file appears in your current folder.
TIP
You can upload multiple files at once using either method. Just select them all before clicking Open, or drag them together as a group.
Create a Folder
Folders help you keep files organized by project, team, or topic.
- In Drive, click New Folder (the folder icon near the top-right).
- Type a name for your folder and press Enter or click Create.
Your new folder appears in the current location. Double-click it to open it and start adding files.
Download a File
- Find the file you want in Drive.
- Hover over it — a row of icons will appear.
- Click the Download icon (arrow pointing downward), or right-click the file and select Download.
Your browser will save the file to your default downloads folder.
Share a File
You can generate a shareable link for any file so others — even people outside your organization — can access it.
- Hover over the file and click the Share icon, or right-click and select Share.
- The Share File panel opens. Click Generate Link.
- (Optional) Set an expiry date — for example, 7 days. After this date, the link will stop working automatically.
- Click Copy Link.
You can now paste that link in an email, chat, or anywhere else. Anyone with the link can view or download the file.
WARNING
Share links are public by default — anyone with the link can access the file. Set an expiry date for sensitive documents, and revoke the link when it's no longer needed.
Revoke a Share Link
If you've shared a file but want to stop others from accessing it:
- Hover over the file and click the Share icon.
- In the Share File panel, find the active link under Active Links.
- Click Revoke next to the link you want to disable.
The link becomes inactive immediately. Anyone who tries to open it will see an "Access denied" message.
Search for a File
- Click the Search bar at the top of the Drive page.
- Type part of the file name, or a keyword from the file's content (for supported file types).
- Results appear as you type. Click a result to open or navigate to that file.
TIP
Use the Filters button next to the search bar to narrow results by file type (PDF, image, spreadsheet, etc.) or by the date uploaded.
Common Questions
Q: What is the maximum file size I can upload?A: The maximum file size per upload depends on your plan. Hobby plan: 100 MB per file. Pro and Business plans: 1 GB per file. Enterprise plans have custom limits. You'll see an error message if a file exceeds your plan's limit.
Q: Who can delete my files?A: Only the person who uploaded the file and Organization Admins can permanently delete a file. Other team members can view and download files they have access to, but cannot delete them.
Q: Can I recover a deleted file?A: Yes. Deleted files go to the Trash (accessible from the bottom of the Drive sidebar). Files stay in Trash for 30 days before being permanently removed. To restore a file, open Trash, hover over the file, and click Restore.
Q: What file types can I store in Drive?A: Drive accepts any file type — documents, images, videos, spreadsheets, PDFs, archives, and more. The AI Assistant can read the contents of PDF, Word, and plain-text files to answer your questions.
